
Donation Policy
Introduction
The Port Hardy Museum and Archives is dedicated to preserving the rich cultural and historical heritage of the Port Hardy region and its surrounding areas. To ensure that our collection reflects the history, people, and community of this unique part of British Columbia, we welcome donations of artifacts that help tell these important stories.
This Donation Policy outlines the guidelines and requirements for donating items to the Museum's permanent collection. Donations are accepted with the understanding that they will be used to enhance our educational programming and exhibition displays while helping to safeguard the history of the region for future generations.
Donation Process:
To donate an artifact or collection to the Port Hardy Museum and Archives, the following steps must be completed:
Initial Inquiry:
Prospective donors are required to contact the Museum to discuss their potential donation before submitting any items. This allows staff to provide guidance on whether the belonging is likely to fit within the scope of our collection.
Donation Form:

Donors must complete a Donation Agreement Form. This form requires the donor to provide as much detailed information as possible about the artifact(s), including:

Provenance (origin of the item and how it came into the donor’s possession)

Detailed description of the item (including age, materials, and condition)

Historical context (how it relates to the history of Port Hardy or the region)

Any associated photographs, documents, or other materials that further explain the item’s significance

Accession Review:
Once the form is submitted, the Museum’s curatorial team will review the donation for relevance to the collection, condition, and potential for use in exhibits or educational programming.
Acceptance of Donation:
If the artifact is accepted, the donor will be provided with an official donation receipt. The Museum will retain ownership of the donated item and reserves the right to care for, exhibit, store, or deaccession (remove) items from the collection in accordance with museum best practices.

As part of the donation process, the Museum requires detailed documentation about each item. This ensures that the historical and cultural value of the artifact is preserved, and that it can be effectively integrated into the Museum’s collections database. Donors are encouraged to provide any available supporting materials, such as photographs, letters, or oral histories, to enhance the artifact’s provenance and historical context.
Documentation and Record Keeping:
Once accepted, all donated items will be cared for according to professional museum standards, which may include conservation, storage, and regular cataloging. The Port Hardy Museum and Archives will take appropriate steps to protect the artifact(s) from deterioration, theft, or damage while in our care.

Deaccessioning:
In the event that a donated item no longer meets the criteria for inclusion in the collection or is in such a state of deterioration that it can no longer be properly cared for, the Museum reserves the right to deaccession the item. Deaccessioned items may be returned to the donor if requested, or they may be transferred to another institution, sold, or disposed of in accordance with museum policy.
Acknowledgment of Donations:
The Port Hardy Museum and Archives values the generosity of its donors and will acknowledge donations publicly where appropriate, through donor recognition on displays, websites, or in exhibition catalogs. However, the Museum also respects the privacy of donors and is happy to provide anonymous donation options upon request.
